OGS PTA Volunteer Descriptions
PRESIDENTS
The President and First Vice President work collaboratively with the Board of Directors to lead, motivate, and coordinate all PTA initiatives throughout the school year.
The Presidents maintain an ongoing partnership with the Principal and school staff to ensure that administrators and teachers feel fully supported and that the broader OGS community benefits from transparent, consistent communication regarding school and PTA activities.
In close coordination with the Board of Directors listed below, the Presidents oversee planning and execution of the PTA's comprehensive calendar of programs and events. They are responsible for ensuring that all initiatives are fiscally responsible, well-managed, and sustainable from year to year.

The Presidents also represent Old Greenwich School as delegates to the Greenwich PTA Council (PTAC), participating in monthly meetings and maintaining regular email communication with peer schools across Greenwich.
President
Key Responsibilities:
- Preside over all PTA and Executive Board meetings
- Set Monthly Board meeting agendas with the VP
- Serve as primary liaison with the school principal and staff along with the VP
- Oversee PTA goals, budget alignment, and strategic priorities, including the building committee
- Ensure compliance with PTA bylaws and policies
- Support and guide committee chairs
- Represent PTA at district/council meetings
First VP
Key Responsibilities:
- Act in place of the President when needed
- Coordinate and support committee chairs
- Monitor progress of major PTA initiatives
- Assist with strategic planning and budgets
- Take a leadership role with Nominating Committee for the following year's board and committees
- Represent PTA at district/council meetings
COMMUNICATIONS
VP of Communication (Board Member - 1 Person)
The VP of Communication works with the PTA Board of Directors, Co-Presidents, and Committees, managing the Communications Calendar for the scheduling and dissemination of important PTA information to OGS families and/or staff. This information goes out via weekly Between the Waves email newsletter, individual PTA email blasts, OGS bulletin board, and text messages via School Dismissal Manager.
The VP also coordinates with the MTK Chairs and District Website Manager to make sure that pertinent information is updated in a timely manner on our PTA and district websites, in combination with the school staff and Presidents.
The VP also serves as Secretary for the Board Directors meetings, tracking attendance and keeping minutes for monthly Board Meetings, as well as overseeing the submission of the District's Community Facilities Use Form for all OGS PTA-driven activities taking place on school grounds.
With the exception of monthly Board meetings, this volunteer role can be managed remotely.
Communication Chairs and Committees
Between the Waves (BTW) Editorial Team (3–6 Chairs) — This team controls the weekly Between The Waves Email Blasts, our main communication tool with our Parent community. This volunteer opportunity is fully remote, with team members taking the "lead editor" role on a rotating basis — roughly 2 of every 6–8 weeks — throughout the school year.
Key Responsibilities:
- Manage and edit submissions from the community and board, prepare/format first and second drafts to be reviewed by VP Communication and PTA Co-Presidents throughout the week
- Communicate deadlines for submission to the Board of Directors and Committee Chairs
- Finalize and pre-schedule weekly newsletters for distribution on Sunday afternoons
OGS District Website Manager (2 Chairs) — Update and maintain the PTA-relevant pages of the District Website (ogs.greenwichschools.org). District web training required. This volunteer opportunity is fully remote.
Bulletin Board Manager (1 Chair) — Design, print, and post a poster-sized calendar/list of upcoming events for the Bulletin Board on the Plaza. Posters are generally updated every 2–3 months, as needed.
Membership Tool Kit Editorial and Administrative Team (2-3 Chairs) — This team controls the PTA’s Main website and the back end systems through Membership Tool Kit (MTK). Serving as both content editors and system administrators, the team works with the board to update all community facing information on an on-going basis, as well as, work with teams to create and manage the back end systems that are used within Membership ToolKit.
Key Responsibilities:
- Back to School: Work with Presidents and all VP’s, especially VP of PTA Programs, VP of Fundraising to have all information updated and linked accordingly for back to school.
- On-Going: Work with the VP’s and Chairs to create forms for all programs throughout the year. For example, Pumpkin Patch Sponsorship Sales Forms, After School Program Information, Class Parent Message Boards, etc.
- Manage the Parent Directory with all relevant information and on-going support for parents.
CURRICULUM ENRICHMENT
VP of All School Curriculum Enrichment (Board Member - 1 Chair)
The VP of All School CE role leads all of the below K–5 CE efforts for the OGS PTA. All school CE programming supports and enhances curriculum for students across grade levels at OGS. It provides opportunities for students to engage in hands-on learning and performances beyond the classroom by engaging the expertise of external vendors and resources.
All school CE is broken down into several categories: Music and Heritage Months, Science and Environment, Author Visits, and Spelling Bee. Each initiative has its own committee that the VP of All School CE supports.
Key Responsibilities:
- Create the Shared Curriculum Environment Google Folder and add necessary folders, paperwork, and calendar. This folder will be shared with the Grade-Level CE team, particularly the calendar.
- Engage committees at the start of the school year to get to know each team, explain responsibilities, provide paperwork training as needed, and answer questions. Ensure each team member has access to the Shared Curriculum Enrichment Google Folder.
- Provide feedback to the team from the end-of-year meeting with Dr. Bencivengo as it relates to planning for the school year.
- Provide a planning timeline for each committee so that programs may be reviewed and presented to Dr. Bencivengo for approval.
- Some events are planned by the VP such as Circus and other events that may not fit within other committee areas.
- Maintain ongoing engagement and communication with Dr. Bencivengo and committees as needed.
- Attend monthly board meetings and provide updates regarding programming.
- Work with the treasurers and presidents regarding budgets.
- Attend PTAC CE meetings (3–4/year)
Curriculum Enrichment Chairs and Committees
Music/Heritage Months Chairs (2–3 Chairs) — The Music/Heritage Month committee plans school-wide programming centered around six heritage months: Latin American Heritage Month, Native American Heritage Month, Black History Month, Women's History Month, and Asian American Pacific Islander Heritage Month. Events occur throughout the year. Some planning may begin in late Summer.
Key Responsibilities:
- Identify potential vendors for each Heritage Month
- Share vendors with All School VP and then get approval from Dr. Bencivengo
- Identify dates with Dr. Bencivengo and the vendor
- Gather district required paperwork from the vendor and send to the OGS office
- Complete any necessary GPS/PTA paperwork (Facilities requests and RFFs)
- Organize any necessary requirements for the performances
- Attend performances and support vendor while they are at the school
Science/Environment Chairs (1–2 Chairs) — The STEAM committee plans school-wide programming centered around STEAM activities, including Earth Day. Events occur throughout the year.
Key Responsibilities:
- Identify potential STEAM vendors
- Share vendors with All School VP and then get approval from Dr. Bencivengo
- Identify dates with Dr. Bencivengo and the vendor
- Gather district required paperwork from the vendor and send to the OGS office
- Complete any necessary GPS/PTA paperwork (Facilities requests and RFFs)
- Organize any necessary requirements for the performances
- Attend performances and support vendor while they are at the school
Spelling Bee Chairs (1 Chair) — The Spelling Bee committee plans the 3–5th grade Spelling Bee, which occurs in early December. Planning begins at the start of the school year (September) and lasts through the Spelling Bee.
Key Responsibilities:
- Register with the Scripps spelling bee
- Identify a Spelling Bee date with Dr. Bencivengo
- Coordinate with 3rd–5th grade teachers to conduct their class-wide bees. The top 3 spellers from each class are invited to participate in the school-wide bee.
- Communicate with families of students in the school-wide bee
- Complete necessary paperwork (RFFs and Facilities Requests)
- Identify other parents to serve as judges/recorders
- Attend the school-wide Bee
- Register the winner of the school-wide Bee for the regional Bee if they want to participate
Author Visits Chairs (2 Chairs) — The Author Visits committee plans and coordinates visits from authors to OGS. Typically, there are 2 authors that visit each year with one focused on lower grades and one on upper grades.
Key Responsibilities:
- Identify potential authors. Battle of the Books authors are a good starting point. It may be helpful to work with Author Visits teams from other GPS schools in order to reduce costs.
- Share authors with All School VP and then get approval from Dr. Bencivengo
- Identify dates with Dr. Bencivengo and the author
- Gather district required paperwork from the vendor and send to the OGS office
- Complete any necessary GPS/PTA paperwork (Facilities requests and RFFs)
- Organize any necessary requirements for the performances
- Attend performances and support author while they are at the school
- May include a book signing for the school community
Grade Level Curriculum Enrichment Representatives/Chairs (2–3 people per grade) — Grade Level Curriculum Enrichment (CE) Reps work with a grade-specific teacher team to evaluate previously used programs and discuss new opportunities for curriculum enrichment that aligns with their grade level content. We have 2–3 volunteers per grade (Pre-K, K, 1, 2, 3, 4, 5). They are supported by the VP of CE and work with teachers, OGS admin and office staff, PTA members, and individual vendors.
Key Responsibilities:
- Conduct an initial planning meeting with your grade level counterpart teacher to review previous programs and discuss new opportunities
- Research new enrichment programs that align with the curriculum
- Work with teachers to choose programs and determine best dates and times for in-school programs and field trips
- Collect paperwork from vendors (Liability forms, Workers Comp, etc.)
- Complete PTA paperwork
- Submit Request for Funds (RFF) to PTA treasurer
- Work with OGS office staff to book buses for field trips
- Attend enrichment programs and field trips
- Evaluate programs for effectiveness and alignment to curriculum
- Send follow-up emails to parents with information and pictures from the program
COMMUNITY AND CULTURE
VP Community and Culture (Board Member - 3 People)
The VPs of Community and Culture foster a connected, compassionate and engaged school community through programs that promote service, social responsibility, wellbeing, and meaningful family experiences — all reflecting the heart and spirit of the school.
Each VP serves as a Board liaison and provides guidance and support to the following Committees:
- VP 1 — First Day Ceremonies, Family Events, The Musical, and The Musical Broadway Experience
- VP 2 — Community Service & Outreach and OGS Care
- VP 3 — Health & Wellness, GreenSchools, School Safety, and Sustainability Innovation
In close partnership with the co-Presidents, Principal and Committee Chairs, VPs help streamline the planning, coordination, and execution of initiatives and events.
Key Responsibilities:
Meetings & Oversight
- Launch the school year with each committee to review roles, goals, budgets, timelines, and processes
- Meet regularly with the co-Presidents and Principal
- Align early with the VP of Communications and MTK team on annual calendar and messaging strategy
- Attend monthly Board meetings and two General PTA meetings
- Participate in budget reviews with Treasurers
- Maintain consistent engagement with committees throughout the year
Communications
- Manage weekly Board-level communications
- Support committees in coordinating communications to the OGS community with the Communications and MTK teams
- Oversee seasonal OGS Cares newsletters and related marketing materials
- Maintain clear systems and documentation
Programming Support
- Support committee activations and events
- Guide Chairs in navigating PTA resources and processes (e.g. BTW submissions, Facilities requests, MTK, marketing toolkit, RFFs)
Community Chairs and Committees
First Day Ceremonies (2 Chairs) — The First Day Ceremonies committee plans and coordinates the school's welcome-back morning on the first day of school each year. This sets a warm, celebratory tone for the year and helps new and returning families feel connected to the OGS community from day one.
Active: Mid-July to early September
Key Responsibilities:
- Plan and organize first-day welcome for students and families on the Plaza
- Connect with Community and Culture VP on first-day ceremony needs in late July including teacher list, budget, new teacher flag order and checking flag inventory
- Coordinate with school administration on timing, logistics, and any school-specific traditions
- Arrange for welcome signage, decorations, and photo opportunities, including Mac the Dolphin (optional)
- Oversee the setup and breakdown of all flags, signage and decorations
- Recruit and manage day-of volunteers
- Submit RFFs to the Treasurer
- Debrief with the Board after the event to capture feedback for the following year
Family Events (2–3 Chairs) — The Family Events committee plans community-building social events throughout the school year that bring OGS families together outside the classroom (e.g. Broadway, Sports or Movie outings and Family Days/Nights). These events are designed to strengthen the school community and create lasting memories for our students and their families.
Active: Fall, Winter or Spring (varies each year based on events)
Key Responsibilities:
- Plan, coordinate, and execute family-oriented social events throughout the year
- Connect with Community and Culture VP on event ideas, budget and timelines early in the school year
- Work with school administration to secure dates and facility needs
- Complete necessary PTA paperwork (Facilities requests and RFFs)
- Work with vendors on securing venues, group ticket sales and manage paperwork/payment
- Coordinate ticket sales form setup with the MTK team (where needed)
- Coordinate with the Communications team to promote events via BTW and PTA email blasts
- Recruit and manage event-day volunteers
- Manage event budgets and pass-throughs and submit RFFs to the Treasurer
- Gather post-event feedback and share outcomes with the Board
The Musical (2-3 Chairs) — The Musical committee acts as the Producers, overseeing PTA support for the annual OGS school musical, a beloved tradition giving 4th and 5th graders the chance to perform on stage or join the crew. The Producers work closely with the Principal and Musical Directors to handle all aspects of the parent-volunteer side of the production, from rehearsals to set design to front-of-house operations.
Active: September to May
Key Responsibilities:
- Coordinate with the Principal and Musical Directors to understand production needs and timelines
- Attend and present at a parent information session, and lead a follow up parent volunteer overview session
- Manage outside vendor agreements and payments
- Serve as the primary parent liaison and manage weekly parent communications during the rehearsal period
- Organize parent volunteer needs including t-shirts, costume, hair and makeup, rehearsal and backstage assistance
- Manage front-of-house logistics for performance nights (seating, programs, ushering, concession, photography)
- Organize parent volunteer needs for cast and crew wrap party (videographer, slideshow, and catering)
- Work with the MTK team on setting up a parent information page and ticket sales form
- Work with the Communications team to promote performance dates and ticket information
- Complete necessary PTA paperwork (Facilities requests and RFFs)
- Manage a detailed production budget and submit RFFs to the Treasurer
- Post-musical analysis and debrief with the Board
The Musical Broadway Experience (2 Chairs) — The Musical Broadway Experience committee organizes a special outing for all 4th and 5th grade students to attend a Broadway workshop and performance. This enrichment experience is designed to inspire young performers and deepen their appreciation for the performing arts.
Active: November to March
Key Responsibilities:
- Coordinate with the Community and Culture VP and Principal on planning and timeline
- Research and secure appropriate Broadway or professional theater show and group workshop
- Book large group lunch reservation and organize a prix-fixe menu
- Coordinate sales form setup with the MTK team
- Coordinate transportation and teacher/parent chaperone logistics with the Principal
- Communicate trip details and permission requirements to participating families
- Work with the school office to arrange bus transportation
- Complete necessary PTA and district paperwork
- Manage invoices for pass-through budget and submit RFFs to the Treasurer
- Chaperone the field trip and develop a chaperone itinerary
- Debrief the Board on key learnings and recommendations to enhance the experience
Community Service & Outreach (3-5 Chairs) — The Community Service & Outreach committee coordinates initiatives that teach students the value of giving back and connect the OGS community with local organizations in need. Programs may include food, coat, backpack and toy drives, along with other seasonal service projects. The committee works closely with the Board and Principal to ensure a strategic and thoughtful approach to school-wide giving.

Key Responsibilities:
- Plan and execute seasonal outreach initiatives throughout the school year (e.g. OperationSmile, GivingTree, 100th Day, Mother’s Day essentials drive, and a backpack and supplies drive)
- Identify and establish relationships with local partner organizations (e.g., food banks, shelters, community centers)
- Partner with the Principal to develop and implement programs that engage students in meaningful service
- Partner with other PTA committees on aligned initiatives to maximize impact (e.g. Fundraising programs, GreenSchools and 5th Grade Parent Coordinators)
- Coordinate donation drives and volunteer activities with school administration
- Communicate giving opportunities and timelines to the OGS community via BTW and PTA emails
- Collaborate with the OGS Cares team to plan for seasonal program messaging
- Recruit and manage volunteers as needed for events, collections, and deliveries
- Complete necessary PTA paperwork (Facilities requests and RFFs)
- Report outcomes and impact to the Board
OGS Cares (2 Chairs) — The OGS Cares committee manages a platform that educates, inspires, and empowers students and families to support the greater community. Through seasonal newsletters and materials, OGS Cares highlights programs, resources, and events that showcase the school community’s impact. In times of crisis, the committee mobilizes families to respond in a unified and meaningful way.
Active: September to June
Key Responsibilities:
- Develop templates for 3–4 seasonal editions (Back to School, Holiday, Winter Wellness, Earth Day)
- Partner with Community and Culture VPs to map out seasonal content and timelines
- Coordinate photography and copy needs with featured committees
- Collaborate with the MTK and Communications teams on a strategic rollout plan
- Work with the MTK team to set up and maintain an OGS Cares information page with seasonal content
- Design and distribute seasonal flyers to increase community awareness
- Communicate seasonal messaging via BTW and PTA emails
- Activate OGS Cares during unforeseen tragic events to support an effective community response
- Share community feedback and impact updates with the Board
Health & Wellness (3–5 Chairs) — The Health & Wellness committee promotes physical and mental wellbeing in the OGS community through programs, resources, and initiatives. Its signature program, GEAR UP OGS, supports bike safety and encourages students in grades 3–5 to bike to school. The committee also oversees other wellness initiatives, including National Bike & Roll to School Days and the GPS district-led Taste the Rainbow program.
Active: September to June
Key Responsibilities:
- Plan and coordinate health and wellness programming for students and families (e.g. wellness speakers, mindfulness initiatives, bike safety, healthy eating habits)
- Lead the GEAR UP OGS bike-to-school initiative, including recruiting and training parent volunteers, coordinating bike safety instruction with PE staff, and partnering with CT Department of Transportation representatives
- Work with the Board on budget planning and pursue grant opportunities for GEAR UP OGS
- Lead PR and marketing efforts for GEAR UP OGS during key periods to drive participation
- Collaborate with the MTK and Communications teams on strategic program rollouts
- Maintain the GEAR UP OGS page with updated program information
- Communicate program details and timelines via BTW, PTA emails, and parent-volunteer email updates
- Work with school staff and administration on wellness topics, including allergy awareness
- Coordinate program logistics with the school office as needed
- Complete required PTA paperwork (Facilities requests and RFFs)
- Attend district PTAC meetings (in person or virtually) and report updates to the Board
- Share community feedback and impact updates with the Board
GreenSchools (3-4 Chairs) — The GreenSchools committee promotes environmental stewardship and empowers students to make a meaningful impact through hands-on sustainability initiatives. Its newly launched cafeteria Impact Program focuses on Waste Reduction, Food Rescue, and Student Ownership, teaching conservation, responsibility, and community empathy. The committee also leads other school-wide green initiatives, including the Halloween Costume Swap, anti-idling campaigns, and Earth Day programming.
Active: September to June
Key Responsibilities:
- Oversee the cafeteria GreenSchools Impact Program, including Waste Reduction, Food Rescue, and Student Ownership initiatives
- Coordinate the ongoing Food Rescue program, including recruiting and managing parent volunteers for weekly pickups and drop-offs at the Stamford Yerwood Center, and parent- volunteer communications
- Plan and execute sustainability-focused events and initiatives (e.g. Halloween Costume Swap, Earth Day programs, recycling education, anti-idling campaigns during drop-off and pick-up periods)
- Partner with other PTA committees on aligned initiatives to maximize impact (e.g. Health & Wellness, Community Service & Outreach, and 5th Grade Class Parent Coordinators)
- Collaborate with the OGS Cares team to plan for seasonal program messaging
- Work with the MTK team to update and maintain GreenSchool’s program page with composting, tech recycling, textile donation, plastic bag drop-off locations, and other community resources
- Work with the Communications team to promote GreenSchools activities to the community via BTW and PTA emails
- Collaborate with school administration and custodial staff to implement environmental initiatives
- Complete required PTA paperwork (Facilities requests and RFFs) as needed.
- Attend district PTAC meetings (in person or virtually) and report updates to the Board
- Report outcomes and impact to the Board
School Safety (1–2 Chairs) — The School Safety committee works with school administration to support a safe environment for all students, staff, and families. The committee serves as a parent liaison on safety-related topics and helps ensure the school community is informed about safety procedures and resources.
Key Responsibilities:
- Serve as a parent point of contact for school safety topics and concerns
- Coordinate with school administration and the building committee on safety-related communications
- Help organize and promote safety awareness initiatives (e.g., pedestrian safety, emergency preparedness information)
- Attend relevant school safety meetings or district briefings as needed
- Share safety updates and resources with the community through the Communications team
Sustainability Innovation (1–2 Chairs) — The Sustainability Innovation committee explores and pilots new ideas that advance OGS's environmental goals. This role is for creative, forward-thinking volunteers who want to research emerging sustainability practices and propose new programs or improvements to existing ones.
Key Responsibilities:
- Research new sustainability initiatives and best practices from other schools and communities
- Propose new programs or enhancements to existing GreenSchools and environmental efforts
- Pilot small-scale sustainability projects and evaluate their impact
- Coordinate with the GreenSchools and Health & Wellness committees to align efforts
- Present ideas and outcomes to the Board for consideration
- Work with the Communications team to raise awareness of sustainability efforts
FUNDRAISING
VP of Fundraising (Board Member - 1 Person)
The VP of Fundraising leads all of the Fundraising efforts for the OGS PTA. These efforts are critical for all PTA programming and affect every initiative and service we provide our parents, students and teachers. From Curriculum enrichment to community engagement events and programs, to PTA programming, to Teacher Grants and funding for important physical spaces within our school, these fundraising efforts allow the OGS PTA to be a critical part of our children's elementary education.
Fundraising is broken down into 2 larger fundraising efforts (The Pumpkin Patch and The Progressive) and then 6 smaller initiatives, happening at different times throughout the school year. Each initiative has its own committee that the VP of Fundraising oversees and supports.
Key Responsibilities:
- Ensure all committees understand their roles, responsibilities, and timelines throughout the year
- Attend monthly board meetings providing relevant updates and additional information for upcoming fundraising efforts (outcomes, budgets, programming, and questions for the board)
- Work with the Treasury team and Presidents to finalize and update budgets, understanding revenue, profits, and predict/plan for future events and overall PTA program funding
Fundraising Chairs
Pumpkin Patch Chairs (2–3 Chairs) — The Pumpkin Patch Chairs lead a large team of volunteers to plan and execute the OGS Pumpkin Patch, our largest school fundraiser that takes place in mid-October. As the most important event of the year, this team is a huge part of our PTA family and will get to know the board and members of the community.
Key Responsibilities and Timelines:
- Spring (previous school year): Meet with previous chairs to learn about the details that go into each aspect of the fundraiser, i.e. sponsorships, hiring vendors, working with the town, creating new programming and cutting programming that did not work
- Work together to create a list of key volunteers to help run each aspect of the Pumpkin Patch
- Late Spring/Early Summer: Collaborate with all committee chairs to establish timelines and define roles and responsibilities, ensuring a swift start at the beginning of the school year. Some volunteers will begin working on bookings and details for their designated jobs. Kick off volunteers with festive gathering if you'd like.
- Summer: Finalize Sponsorship Packages, Communications for the fall/beginning of year, and initiate outreach efforts if needed. Board to help with all of this.
- Fall: All sub-committees work together to bring Pumpkin Patch to life
- October 17, 2026: Pumpkin Patch Event
- Late October – Mid-November: Address any remaining tasks and hold a final review meeting with the board to discuss the outcome
Progressive Committee (3–5 Chairs) — The Progressive is OGS's annual spring fundraiser, and our 2nd largest of the year. This committee works with the VP of Fundraising to plan the special spring evening of community engagement and camaraderie.
How it Works: The PTA sells tickets to the community (typically $125/person) which includes a grade-specific dinner and access to a grade-specific party following the dinner. These dinners and parties are donated and hosted by parent volunteers in the community. This event typically takes place in late May/early June.
Key Responsibilities:
- Work with the VP of Fundraising and communication teams to update the MTK website that will sell the tickets and have all pertinent information and marketing for the event
- Develop and plan all communication about the event (web page, email blasts, etc.)
- With the OGSProgressive email, manage the responses and coordinate grade-specific dinners and parties
- Work with VP of Fundraising to plan small host gifts and takeaways for parents (in previous years we did custom floral arrangements and custom roadie cups to go)
- Finalize communication with all attendees for where their parties will be and any other final logistics
School Photos (2 Chairs) — The school photo chairs work directly with the photography company (Robert Taylor) and the front office to coordinate the school photo date (typically late September or October), location within the school, photo needs for all the different grades and communication with the parent community. Once all plans are finalized, the chairs will be present at the photo days to ensure it runs smoothly as well as the make-up dates.
Key Responsibilities:

Book Fair (2–3 Chairs) — Book Fair is a beloved tradition at OGS that takes place once or twice a year. We work with 2 different vendors, Main Street and Scholastic. These chairs take on the planning of the Book Fairs throughout the year.
Key Responsibilities:
- Book vendors with school admin approval of dates. Finalize all paperwork for the Utilities Request Form
- Work with vendors to provide school information, delivery details and point of sale information
- Work with MTK to develop site for parents to purchase/add on money before the fair — typically called the Book Fairy
- Work with the communication teams to get all class schedules out to parents
- Create/Hang signage around school
- Get book requests from teachers or librarians
- Create volunteer slots and a schedule for parents to come in and volunteer pre, during, and post
Dolphin Depot (2 Chairs) — The Dolphin Depot is Old Greenwich School's spirit wear team/department. The chairs typically develop ideas and create new products throughout the year to sell online or at specific events. They also work with Bruce Park Sports or another vendor that sells standard Dolphin gear directly from their site. The community loves to purchase new spirit wear around the holidays or at big events like Pumpkin Patch. This position has flexibility and design creativity to lead the way in Dolphin Wear.
Key Responsibilities:
- Work with VP of Fundraising to come up with a schedule and budget for items that they would like to sell
- Work with Treasury/Events teams to sell on site via individual POS systems
- Work with MTK and back-end BTW to create a landing page for sales as well as communication out to the parents

- Work with Bruce Park Sports to have Live Sales for Standard OGS Swag
School Supplies (1 Chair) — OGS PTA provides an optional school supplies service to our community in the late spring/early summer for families to purchase all of their upcoming school year supplies. We are currently working with EduKits to create custom grade-specific boxes that will be delivered directly to students' homes in mid-August.
Key Responsibilities:
- Work with our School Supplies Vendor, EduKits, to create these kits and a landing page to purchase their kits in the Spring time
- Work with the school to supply teacher lists in mid-spring and provide to EduKits
- EduKits will create the website and pricing, including the small PTA income
- Once finalized by chair, site will be live
- Chair to communicate out via BTW and PTA emails the ordering information and timeline for delivery
- Chair to access and communicate with parent requests/issues via OGSSchoolSupplies email, typically late spring/early summer
- Work with EduKits to ensure delivery to homes is on time

PARENT LIAISONS
VP Parent Liaisons (Board Member - 2 People)
The VPs of Parent Liaisons serve as the bridge between families and the OGS school community, ensuring that every parent — from incoming Pre-K families to graduating 5th graders — feels welcome, informed, and connected. The VPs oversee a team of committee chairs who manage class-level coordination, new family onboarding, hospitality, teacher appreciation, and milestone celebrations.
In partnership with the co-Presidents, Principal, and school staff, the VPs help create a warm and inclusive community where families know how to get involved and feel supported throughout their OGS journey.
Key Responsibilities:
- Engage and support all Parent Liaison committee chairs, ensuring each team understands their roles, responsibilities, and timelines
- Attend monthly board meetings and provide updates on parent engagement initiatives and upcoming activities
- Coordinate with the school office, guidance staff, and administration on family-facing communication and events
- Work with the VP of Communications and BTW team to ensure parent-focused announcements and reminders reach the community
- Serve as a resource for class parents and grade-level coordinators throughout the year
- Participate in budget reviews with Treasurers and co-Presidents for Parent Liaison activities

Parent Liaison Chairs and Committees
Class Parent Coordinator (1 Chair)
The Class Parent Coordinator works closely with the Parent Liaison VPs and the Communication VP to ensure clear, timely communication with all class parents.
Key Responsibilities:
- Serve as the primary point of contact for board members requesting information be distributed to class parents.
- Communicate important updates, reminders, and event details to all class parents throughout the year.
- Select class parents and maintain a comprehensive spreadsheet tracking parent requests and placements.
- Lead the Class Parent Orientation at the beginning of the school year and share all guidelines and expectations.
- Coordinate the collection and distribution of gifts for specials teachers in December.
Class Parents (1–2 per class) — Class Parents serve as the primary communication link between the classroom teacher and the parents in each class. They help facilitate classroom volunteering, organize class-level social events, and ensure families are informed about class-specific needs and activities.
Key Responsibilities:
- Serve as the main point of contact between the classroom teacher and class families
- Coordinate classroom volunteers for parties, field trips, and special events as requested by the teacher
- Organize class-level social gatherings (e.g., playdates, class dinners) to build community among families
- Communicate class-specific information and reminders to parents
- Assist with Teacher Appreciation Week activities for the classroom teacher
- Attend Class Parent orientation at the beginning of the year and follow PTA guidelines for communications and spending
Kindergarten Social Chair (1–2 Chairs) — The K Social Chair organizes social events and activities specifically for Kindergarten families to help build connections during this exciting first year at OGS. This role is especially important for helping new-to-school families form friendships and feel at home in the community.
Key Responsibilities:
- Plan and coordinate Kindergarten-specific social events (e.g., welcome playdates, family gatherings, end-of-year celebrations)
- Work with Kindergarten teachers and the school office on timing and logistics
- Coordinate with the New Families Committee to ensure incoming Kindergarten families feel included
- Communicate event details to Kindergarten families via class parents and BTW
- Manage budget for Kindergarten social events and submit RFFs as needed
New Families Committee (2–3 Chairs) — The New Families Committee ensures that families joining OGS — whether in Kindergarten or as mid-year transfers — receive a warm welcome and the information they need to feel connected. The committee organizes orientation activities, welcome events, and buddy systems to smooth the transition into the OGS community.
Key Responsibilities:
- Plan and execute welcome events for new families (e.g., summer meet-and-greet, back-to-school coffee, new family mixer)
- Create and distribute a welcome packet or digital guide with key information about OGS, the PTA, and the community
- Establish a buddy/ambassador system to pair new families with returning families
- Coordinate with the school office and guidance staff to identify incoming families
- Work with the Communications team to include new-family-focused content in BTW and PTA emails
- Serve as a point of contact for new families throughout the year to answer questions and help them get involved
Hospitality (2–3 Chairs) — The Hospitality committee coordinates food, beverages, and event setup for PTA meetings, school events, and staff appreciation occasions throughout the year. This team ensures that every gathering — from Curriculum Coffees to General PTA meetings — feels welcoming and well-organized.
Key Responsibilities:
- Plan and coordinate food and beverage service for PTA meetings, Curriculum Coffees, Open House, and other school events
- Manage setup and cleanup for hospitality at events
- Recruit volunteers to assist with event-day food preparation and service
- Coordinate with the school office on logistics and timing for events held on school grounds
- Manage the hospitality budget and submit RFFs as needed
- Work with the Communications team to promote events that include hospitality components
Teacher Appreciation Week (2–3 Chairs) — The Teacher Appreciation Week committee plans and executes a weeklong celebration each spring honoring OGS teachers and staff. This is one of the most meaningful initiatives of the year, recognizing the dedication of the educators who make OGS special.
Key Responsibilities:
- Plan and organize a week of themed appreciation activities for teachers and staff (typically in May)
- Coordinate daily surprises, meals, gifts, or other gestures of gratitude throughout the week
- Recruit and manage parent volunteers for food preparation, decoration, and delivery
- Work with class parents to coordinate any class-level teacher gifts or contributions
- Manage the Teacher Appreciation Week budget and submit RFFs to the Treasurer
- Communicate the schedule and volunteer needs to families via BTW and PTA emails
5th Grade Committee (3–5 Chairs) — The 5th Grade Committee plans and coordinates milestone celebrations and traditions for the graduating 5th grade class. This committee ensures that students and families have a memorable send-off as they prepare to transition to middle school.
Key Responsibilities:
- Plan and execute 5th grade milestone events (e.g., 5th grade party, graduation ceremony, community service project)
- Coordinate with school administration on graduation logistics, timing, and traditions
- Organize 5th grade class gifts or legacy projects
- Manage the 5th grade celebration budget and submit RFFs to the Treasurer
- Recruit and manage parent volunteers for events
- Communicate event details, volunteer needs, and photo/memory submissions to 5th grade families via class parents and BTW
Pre-K Liaison (1 Chair) — The Pre-K Liaison serves as the connection between the OGS PTA and Pre-K families, ensuring that our youngest learners and their parents are included in the school community. This role helps Pre-K families understand what the PTA offers and how to get involved, while also coordinating any Pre-K-specific activities.
Key Responsibilities:
- Serve as the primary PTA point of contact for Pre-K families
- Help Pre-K families understand PTA programs, events, and volunteer opportunities
- Coordinate with Pre-K teachers and staff on any PTA-related activities or enrichment for the Pre-K classroom
- Ensure Pre-K families receive relevant PTA communications and are included in school-wide events where appropriate
- Attend relevant PTA meetings and provide updates on Pre-K engagement
- Work with the New Families Committee to welcome incoming Pre-K families
PTA PROGRAMMING
VP of PTA Programming (Board Member - 1 Person) *** NEW POSITION ***
The VP of PTA Programming oversees the suite of before-school, after-school, and student-life programs that the OGS PTA offers to enhance the daily experience for students and families. These programs — from Early Birds morning movement to Homework Club to Yearbook — are a cornerstone of the OGS community and provide enriching opportunities beyond the regular school day.
The VP works closely with the co-Presidents, Principal, and individual program chairs to ensure that all programs run smoothly, are properly staffed and funded, and continue to meet the evolving needs of the OGS community.
Key Responsibilities:
- Oversee and support all PTA Programming committee chairs, ensuring each team understands their roles, responsibilities, timelines, and budgets
- Serve as the primary board liaison for all before-school, after-school, and student-life programming
- Attend monthly board meetings and provide updates on program enrollment, operations, feedback, and any issues
- Work with the co-Presidents and Treasurers on program budgets, pricing, and financial reporting
- Coordinate with Dr. Bencivengo and school staff to align programming with school schedules, policies, and facilities
- Work with the VP of Communications and BTW team to ensure program information, registration dates, and updates reach families in a timely manner
- Gather community feedback to continuously improve and evolve programming offerings

PTA Programming Chairs and Committees
Homework Club (1 Chair) — Homework Club provides a supportive, low-stress after-school environment where students in grades 1–5 can complete homework with guidance from OGS teachers. The program runs on Mondays, Tuesdays, and Thursdays from 3:20–4:20 PM and is offered in session-based and drop-in formats. An after-school snack is included.
Key Responsibilities:
- Coordinate with the OGS teachers who staff Homework Club (currently the Math Intervention Specialist and a Grade 5 teacher) on scheduling and program logistics
- Manage session-based and drop-in registration, ensuring families understand enrollment deadlines (drop-in students must register by the Sunday of that week to ensure proper staffing)
- Work with the VP of PTA Programming on pricing, budgeting, and session planning for each semester
- Coordinate with the Communications team to promote registration periods and program details via BTW and PTA emails
- Monitor enrollment numbers and communicate any waitlist or capacity issues
- Gather parent and teacher feedback to improve the program
Early Birds (1 Chair) — Early Birds Morning Movement is a before-school program for students in grades K–5 that runs Monday–Friday from 7:30–8:30 AM. The program gives students a fun, active start to the day with movement-based activities designed to boost focus, energy, and readiness to learn. It is offered in both session-based and daily drop-in formats, making it a flexible option for families looking to streamline morning drop-off.
Key Responsibilities:
- Coordinate with the program instructor(s) on scheduling, session planning, and day-to-day operations
- Manage session-based and drop-in registration
- Work with the VP of PTA Programming on pricing, budgeting, and session calendars
- Coordinate with the Communications team to promote registration periods and session start dates via BTW and PTA emails
- Monitor attendance and enrollment, and communicate any capacity issues
- Gather parent feedback to ensure the program continues to meet community needs
Afters (2 Chairs) — The PTA works with the company, YourAfterSchool, to create a fun and engaging after-school program on OGS campus that runs throughout the week, divided into 4 semesters (Fall, Winter 1, Winter 2, and Spring). This programming is a combination of classes that are run by vendors OR OGS teachers and staff. The programming is always changing and adapting and can be personalized with the Afters Chairs based on their knowledge and expertise of what the community likes and wants more of in an after-school setting.
Key Responsibilities:
- Work with the reps from YourAfterSchool to finalize/create the curriculums for Fall, Winter, and Spring
- Support Teachers and Staffing as Needed via communication with Dr. Bencivengo and our on-site Afters Coordinators (typically 2 OGS employees that are directly contracted through YourAfters to manage the onsite programming)
- Create and develop communication timeline with YourAfters to roll out information and sign-ups to the community via Between The Waves and PTA Email Blasts
- Help manage feedback/questions from the community, especially on Sign Up Days
- Work with YourAfters to mitigate issues with parents and faculty if needed
Yearbook + School Photos (2–3 Chairs) — The Yearbook and School Photos team creates the annual OGS yearbook and coordinates school photo days. This is a creative and detail-oriented role that results in a treasured keepsake for every OGS family.
Key Responsibilities:
- Design, compile, and produce the annual OGS yearbook, capturing events, class photos, candids, and milestones from the school year
- Work with the school photo company (Robert Taylor) to coordinate school photo days and ensure class/individual photos are delivered for yearbook use (see School Photos description under Fundraising for photo-day logistics)
- Collect and organize photos from PTA events, field trips, and school activities throughout the year
- Solicit student artwork, writing, or other creative contributions for inclusion in the yearbook
- Coordinate with the school office and teachers on class rosters and photo accuracy
- Manage the yearbook production timeline, working with the printing vendor to meet deadlines
- Work with the Communications team to promote yearbook sales to families
- Manage the yearbook budget and submit RFFs to the Treasurer
Morning Enrichment (ELA + Math) (2 Chairs) — Morning Enrichment is a focused, small-group academic program for students in grades 3–5 that runs Monday, Tuesday, and Wednesday from 7:30–8:30 AM. The program strengthens ELA and math skills while building confidence and academic momentum. It is session-based only (no drop-ins), and space is limited.
Key Responsibilities:
- Coordinate with the OGS teachers who lead the program on scheduling, curriculum focus, and student groupings
- Manage session-based registration and communicate enrollment deadlines to families
- Work with the VP of PTA Programming on pricing, budgeting, and session calendars
- Coordinate with the Communications team to promote registration periods and program details via BTW and PTA emails
- Monitor enrollment and waitlist, and communicate any capacity issues
- Gather parent and teacher feedback to assess program effectiveness and make improvements
Mac's Market (1 Chair) — Mac's Market is OGS's student rewards program where students earn "Dolphin Dollars" throughout the month for positive behavior, academic effort, and good citizenship. At the end of each month, students use their Dolphin Dollars to "shop" for fun prizes and rewards. Volunteers help bring this exciting program to life by managing inventory, preparing orders, and coordinating delivery to classrooms.
Key Responsibilities:
- Source, purchase, and inventory prizes and reward items throughout the year
- Coordinate the monthly Mac's Market shopping experience, including preparing and bagging student orders
- Recruit and manage parent volunteers for inventory, order prep, and delivery days
- Work with the school office and teachers to coordinate the Dolphin Dollars collection and Market schedule
- Manage the Mac's Market budget and submit RFFs to the Treasurer
- Work with the Communications team to recruit volunteers via BTW and PTA emails
Lost & Found (1-2 Chairs) — The Lost & Found chair manages the school's lost and found area, helping return items to students and families and keeping the collection organized throughout the year.
Active: September to June
Key Responsibilities:
- Regularly organize and maintain the lost and found area at OGS
- Coordinate periodic "display days" where items are laid out for families to claim (e.g. before school breaks)
- Work with the Communications team to remind families to check lost and found via BTW and PTA emails
- Arrange for donation of unclaimed items at the end of each semester or school year
- Complete necessary PTA paperwork (Facilities requests)
- Coordinate with the school office and custodial staff as needed
